Receptionist/Administrator – initial 12 month temporary contract

As a Receptionist/Administrator, you will be responsible for managing a busy reception area. You will be supporting staff members, visitors, contractors and dealing with general duties which involve administrative support. This is an initial 12 month temporary contract with potential for extension.

KEY RESPONSIBILITIES:

Reception

  • General front of house duties: managing the visitor management system, meeting and greeting visitors and contractors, providing them with visitors passes and access cards whenever required
  • Managing switchboard and transferring calls
  • Dealing with parcels, deliveries and distribution of post
  • Liaising with facilities and security to provide the highest quality service and processes to the wider business
  • Travel arrangement 
  • Diary management
  • Dealing with staff requests and queries
  • Assisting with raising purchase orders, invoices, filing, scanning and archiving
  • Managing systems that company is using and keeping them up to date
  • Managing the general email inbox

Safety and Security

  • Making sure that everyone who is visiting the site is having the required pass and after the visit the pass has been returned
  • Taking part and assisting in the evacuation process
  • Making sure that health and safety policy is up to date
KEY REQUIREMENTS:
  • Previous experience working as a front of house receptionist
  • Strong administrative skills
  • Advanced in using computer and Microsoft Office package
  • Experience with Concur system and managing expenses
  • Strong organisation and communication skills
  • Excellent attention to detail
