Our client is urgently seeking an experienced PA to join their team. Main roles include: Booking extensive travel plans and providing detailed travel itineraries Managing email correspondence, telephone calls and visits as required Flexibility at managing selected member’s of the department’s calendars and setting up appointments and group meetings Taking meeting minutes at specified internal meetings (usually once a week) and distributing to relevant internal stakeholders Completion of expense reports via Concur expense system. Ordering stationary as an when needed Management of departmental invoices i.e. providing purchase orders for preferred vendors. Assist with organizing meetings including the European GDRSM Leadership and Affiliate meeting and ad hoc Face to Face Project team meetings: · Assist with planning of meeting and organization of venue and all logistical requirements · Obtaining information on facilities of venue and costs · Sending meeting request to participants, follow-up and tracking of participation · Assist with preparing agenda, invitation, hand-outs and welcome packs · Arranging for required technical and office equipment, and teleconference and/ or video conference if needed · Planning associated catering requirements and social events · Assisting during meeting to ensure functional equipment and smooth running of meeting · Liaise with 3rd party vendors such as taxi/chauffeur firms and travel company.
